Build a useful collection inventory

Record identity, location, condition, acquisition facts, and evidence without mixing them with changing market estimates.

Start with stable identity fields

Record the card name, set, collector number, language, edition, finish, and certification number when applicable.

  • Use one record per distinct item or version
  • Photograph higher-priority cards
  • Record the physical storage location

Separate facts from estimates

Acquisition date and cost are historical facts. A current market observation is time-sensitive research. Store them separately so a later estimate does not overwrite the original record.

  • Keep receipts where available
  • Date every market observation
  • Name the observation source and currency

Maintain the inventory

Review the inventory after purchases, sales, trades, grading returns, or storage changes. Back up records in a format you can still open later.

  • Use consistent labels
  • Correct duplicates
  • Export a backup periodically
